The Initiative on Financial Security



The Initiative on Financial Security (IFS) focuses on savings policy – an issue that has moved to the forefront of public discourse as the U.S. personal savings rate has dropped to zero and domestic policy attention is focused on issues such as pension reform, Social Security and the cost of health care. The mission of IFS is to examine solutions to this savings crisis so that more Americans can own homes, finance college, start businesses and prepare for a secure retirement. Members of IFS’ Advisory Board include CEOs and senior executives from The Capital Group, Goldman Sachs, ING Financial Services, Bank of America, H&R Block, Shorebank, and the Urban Institute, among others.



Basic Function:

The Executive Assistant will primarily provide administrative support to the Executive Director of the Initiative on Financial Security. In addition, s/he will serve as the administrative hub for the entire program. Duties include scheduling meetings, being the first point of contact at IFS for those outside the organization, communicating with senior-level staff and executives from a wide range of businesses and organizations, making travel arrangements, managing email, processing financial payments, disseminating program’s publications, coordinating meetings, and managing/updating the program’s database. The Executive Assistant will also work closely with the Associate Director (AD) and may be assigned tasks and projects by the AD that would be additional to the above list.



Essential Duties and Responsibilities:

• Oversee all aspects of the Executive Director’s schedule, communication and travel

• Communicate professionally on the phone, by email and in person

• Prepare correspondence to business and non-profit leaders and carry out all relevant follow up via telephone and e-mail

• Assist with planning of events and meetings for senior executives, including preparation of background and presentation materials

• Prepare travel itineraries; arrange travel and lodging for Executive Director and staff

• Maintain an organized filing system and constantly update various databases, including the mailing list database

• Handle written, telephone and internet requests for information; draft and manage correspondence and documentation as required

• Process requests for payment and expense reports

• Open and process daily mail

• Schedule meetings for Executive Director and staff

• Manage overall office administration, including supply and equipment requisition, and coordinate with technical support

• Help prepare Power Point presentations and assist on design of issue briefs and other publications

• Undertake, at the direction of the Associate Director, other tasks and projects that advance the goals and objectives of IFS

• Some travel may be required in connection with meetings and events



Principal Interactions:

Works directly for the Executive Director but is also supervised by the Associate Director on some tasks. Routinely interacts with senior executives and handles outside requests for information. This position balances the daily responsibilities of assisting the Executive Director, supporting the IFS staff and managing the office administration.



Knowledge, Education and Experience:

• Bachelor’sAssociate’s degree and 5 or more years office experience

• Excellent computer skills, including, word processing, spreadsheet, web browser, Raiser’s Edge and PowerPoint. Familiarity with Windows environment essential. Knowledge of InDesign and web design a plus.

• Strong administrative skills; the ability to plan, organize, and follow through with staff and a variety of constituencies

• Excellent written and verbal communication skills

• Meticulous attention to detail and excellent organizational skills

• Ability to work under pressure and meet deadlines

• Ability to handle multiple assignments, prioritize work flow and adapt to fluctuating workload

• Ability to work independently and exercise judgment in decision-making

• Innovation, creativity and the ability to work as a team player are fundamental to success in this position
